BarCampNYC2 Venue Planning

 

Several people are following up on venue leads. See the bottom for more. We can always use more leads!

 

We're hoping for a weekend in September. Here are the dates we discussed at our first planning meeting:

 

  • September 9-10
  • September 30-October 1st

 

What we need in a venue:

  • 4-5 medium-size presentation areas/rooms
  • 1-2 mingling/gathering areas
  • 2 bathrooms
  • Reliable internet access
  • Space enough to host 100-150 people
  • Easily accessible via public transport

Would be nice to also have:

  • Space for 50 or so people to sleep overnight
  • 1-2 showers
  • Kitchen area
  • tables for setting things out
  • whiteboards
  • projectors

 

 

We have leads!

NEED TO FIND SOMEONE:

  • Eyebeam - (Noel --contact made on best approach. I'll be calling the ED around 4 to mull over space use and associated "costs.")

 

MAYBE:

  • BKLYN Polytechnical (Noel --Contacted and now into further review with dates provided.)
  • Google (Amit --talked to Dominic Preuss. No overnight, but the rest looks good for 2nd weekend of Sept)
  • Lemurplex (CSt --emailed)
  • Old Razorfish offices (Anders --spoke to two contacts, no go so far, have one more to check with)
  • Microsoft (Amit--talked to Peter Laudati. No overnight, and internet might be a problem. But the space (near Radio City) is well-equipped and sounds great. MS can help out with food, and if we can figure out a temporary internet solution, may be able to help with that as well.)

 

PROBABLY NO:

  • Schematic - (Amit -- Jane Wells is trying to push this through, but they recently had a robbery and mgmt is skittish.)

 

NOT GONNA WORK:

  • OfficeOps - (OUT - NO RESPONSENoel --GREENLIGHT! check out their site for floorplans. we pretty much have a standing invite to use OfficeOps for what we need. provided two things are considered, 1. a community effort in rebuilding the officeops site into an OSS CMS like Drupal or 2. pay a discounted rate for the building, which has yet to be negotiated. the 4/5 rooms + roof deck can house about 100+ people and one large room will be used for overnight accommodations, housing 30+ people. at this moment, the schedule looks clear for all three nights. caveat - internet can be slow. they have a half of a t1 for residents and office space, we would need to WiFi the building prior to the Camp.)
  • 3rd Ward Brooklyn - (Noel, RED LIGHT)
  • Meetup (Amit --emailed, no go)
  • Gawker (Amit --emailed, their 2000sq ft office is prob too small, but Nick suggested stringing together their office with a few others on the same street.)
  • Root.net (OUT - NO RESPONSEAmit --emailed, checked it out on 7/19. Really nice space, need to find out if overnighting is doable..)
