Things we'll need:

All planning and budgeting decisions are made on using 100 expected participants.

Furniture

Using Chairman Mills for furniture selection and delivery. Because the floor is dirty, we might actually want to improve the quality of the chairs, or at least have a mixture/variety.

Quantity_Item_PriceTotal
100Chairs - Folding Plastic$1.60/chair$ 160.00
50Chairs - Wood - Fabric Seat Cushion$5.50/chair$ 275
1560" Round Tables seats 10$10.00/table$ 150.00
15White Linen Table Cloths - tables are just chipped plywood$20.00/table$ 300.00
Delivery Charge $ 60.00
PST $ 77.60
GST $ 67.90
Total $1115.50

This was almost 3 times what we were planning.

We are still going to want to purchase or rent something to project on? Ideas on where and what we could do?

- Brooms

- Mops

- A cleanup/decorating crew for Friday evening

- Sheets/blankets/soft pliable room dividers

- Rope to hang room dividers

- Power bars and extension cords

- Signage

- Flipchart paper (we can attach to the wall with screws if we don't have stands)

- Red electrical tape to tape over the non-working power plugs

XP Project Room things we need:

JBR: We're covered, based on what Jay has told me and what's already in these lists.

Catering and Food

Dinner on Saturday night is being catered by Rancho Relaxo. More details BarCampTdotDinner.

We're probably going to have to take a collection for pizza on Saturday.

Things we'd like:

- Flipchart stands

- Whiteboards

- Couches

- Decorations (possibly in a military surplus style)

- A fridge?

- A microwave?

Issues we need to figure out:

- Bathrooms. All bathrooms in the building require the use of a keyfob to enter. I can make two keyfobs available but I absolutely 100% need them both returned to me at the end of the weekend or Radiant Core will be in trouble. I don't mind being responsible for them while the event is running (i.e.: see Jay for a bathroom key), but I'm not going to camp so if anyone is then we need to figure out how to make people responsible. David jokingly suggested a wiki page but it's not such a bad idea :)
