Suggestions to build on the Flashmeeting process you are already developing here:
- Maybe we could actually create a tentative schedule before hand of the agenda (15 minutes for this, 20 minutes for that, etc)? The "chairperson" would then basically be the person who helps to keep things on schedule. This could be the "structured" part of the meeting. If a guest is brought in, then time would be scheduled for the guest to speak, and for Q&A with the guest. Guest activities should be at least roughly planned out ahead of time. If a guest is brought in, it might actually be good to "schedule" the guest at, or towards the beginning of the meeting, maybe. Doing these things might speed up the process of getting Flashmeetings organized a little. These are just some suggestions. Feel free to refactor, etc.
- Once the structured part is over, I recommend that anyone who wants to stay on the line and talk in an unstructured way can simply do so. Or, free form/unstructured conferences can also be scheduled at other times. In my humble opinion, it's good to encourage some time for free form communication/brainstorming, in the spirit of BarCamp. -- SamRose
I agree with Frederic regarding the length of the meeting : 1h30 is enough. A tigh schedule is the best way to keep audience attention. To achieve this goal we definitively should adopt the organization/process suggested by Sam : 2 parts. The first part requires a close regulation by the "timekeeper". This allows, say, 30 mn at the end of the meeting for an open agenda. In my opinion, the unstructured part should also be time limited. -- JeanChristopheCapelli
For decision making meetings, we could make discussion motion-based, for other meetings, we could schedule time, but stop and move on earlier if everyone is done with an item before allotted time expires. US moved from daylight savings time at the same time than Europe this year (this is kind of exceptional, see http://webexhibits.org/daylightsaving/b.html). Michigan is in Eastern Time, 6 hours behind us. 20:00 is 4:00pm in Michigan. Here is a link to the official US time web site http://www.time.gov/. -- FredericBaud
