An IRC meeting on #barcamp-cm (Freenode) has been held Friday, August 14th 2009 . Here are the notes of this meeting.

Details of the meeting

 

About the Venue

  • All the details about the venue . Location : Fcfa 12.000 /hour/playing field
  • Get more pictures of the room especially electric connections (how many)
  • College Libermann is located at the heart of Douala in Akwa. (RINGO headquarters are not too far)
  • A delegation lead by ongolaBoy should meet the school administration in September 2009. JeremyBrown, Gaza and Sovo can help here.
  • We have estimated that 100 people can attend the event.
  • We should provide tables, chairs and maybe tentes
  • Etum suggested that we divided the gymasium in 3 parts and use the basketball and handball as extra facilities
  • We should secure electrically and physically the equipement

 

The theme

Everybody aknowledge that Digital dreams can fit very well for this Barcamp.

Sponsors organiser

Ahandajf is the main responsible of that issue.

 

  • Michael_Downey asked if there are restrictions on the AirFrance fare?
  • RINGO are up for Internet and possibly t-shirts/caps

    • BUTneed to know the exact cost for the venue before asking them their sponsorship  (assigned to ongolaBoy)

  • Limbe labs would provide a projector at least,

    plus any networking equipment for the day, gigabit wireless router, networks switches and ethernet cables

  • Africa 2.0 Cameroon will sponsor the lunch

  • Open Solutions Cameroon will take the cost of the venue

  • Spotlight will provide some hotesses (10 ?)

  • Think about partnership with the media

    • Le Messager has already published and article, Read Write Web and Mashable will also

    • ongolaBoy will talk with some friends from CRTV

    • Ahandajf, Etum and E. Tamba will cooperate on the document related to the press

  • If all internet sponshorship fails we can at least rely on modems of some participants

  • We are looking for sponsors for drinks and coffee during the day

 

Food organiser

 

  • Ahandajf is

    working on a plan for a drink or Dinner on Friday and a dinner to close the event on saturday

  • No beer for the barcamp (at least during the sessions)

  • As said above, the lunch will be provided by Africa 2.0 Cameroon

  • Sandwiches, nuts, fruits can fit well for the lunch. Think simple and light ;)

  • no food will be allowed in the rooms

     

T-shirts organiser

  • jeremybrown can assist in the design
  • ahandajf can organise the printing

 

Wifi organiser

  • Limbe labs guys will be the network coordinator
  • OngolaBoy will help on that issue too and especially the physical security of the hardware

Various materials: Projectors, badges, paper

  • Ahandajf will provide papers and badges
    • for the badges - people write their real name and nickname, plus three words that describe what they are interested in (will be done on the D-day)

  • Etum will provide pens
  • LimbeLabs will provide a projector at least (MAC issue is covered)

 

 

Program of the day, its format

  • Some infos about the barcamp should be stick on a wall :
    • How to connect to the internet
    • possible topics
    • information about food
  • Collecting infos for the badges can work as icebreaker
  • Presenters should be allowed to publish their work on the wiki or a related site
  • Business, technology  and open presentations in the morning
  • Presentations can be in french or english
  • A similar timetable will be created

  • We need track-master to watch the time of the various presentations

  • We plan to divide the gymnasium into 3 rooms

  • Session duration:

    • Presentation: 25 minutes

    • Questions : 25 minutes

  • Between each session: 5 minutes

  • (Possible) Time format:

    • 9-10 : arrival, people getting together, writing their talks

    • 10-12 : 2 sessions

    • 12 -13 : Lunch

    • 13-14: Light presentations (ligthning talks); duration: 5 min each

      • It means that we can have no more than 12 presentations per room

    • 15-16 :  1 session

    • 16 - 17 : Conclusions ...

    • The dinner ???

  • With 3 rooms we got :  9 sessions + 36 light presentations.

  • IMPORTANT: One or two persons should open the barcamp in english and french; we suggested that Fritz takes the lead here.

Video, Record talks, interview

  • JeremyBrown can record video on his pc and make some interviews with his digital camera if there is not too much noise
  • Need decent recording equipment
