Volunteer Meeting Note 3
Date: 28 Oct 08 (Tue) 8pm @ Bar Banyan
We still had most of the enthusiastic volunteers at the 3rd meeting
and it was definitely good to see each other again
At the meeting, we were able to update all our progress and covered
most of the issues, left out at the previous meeting. We wrapped up
the meeting with 2 rounds of Werewolves.
Do check out the content of our meeting below:
1. Sponsorship
Total committed sponsorship dollars to date: approximately RM 6400
We will also have food sponsorship of RM1500 from MdeC!
2. Pull factor for Sponsorship
WEB/BLOGSITE
- We had plans to provide some exposure for our sponsors and revamping
the web/blogsite is essential after much discussion on our google
group.
- MC had volunteered to help on the revamping work and he was indeed
the guy we need. We had 2 options from MC which already convince us
that this site will be something we’re going to be proud of. (The
white one was selected through majority votes.)
SOFTBOARD
Apart from online exposure, we are also hoping to put up a notice
board where sponsors are allocated a specific space to put up any
employment notices or even a brief introduction of the company.
For that, we will save quite a bit if MSC Cyberport would have one
that we can loan.
If not, the cost for the soft board would be as below:
4’x6’ white soft board @ RM160
A-stand @ RM175 (Should we not be to drill the board to the walls)
3. Food
RM1500 will be allocated for food (7 meals for the 2 days event)
Amanda had already been in contact with the caterer and currently the
cost stands @ RM16/pax
Upon confirmation, we might be able to allocate another RM1500 for
food budget as we might be getting another sponsor specifically for
this area
Amanda will update us again on the final cost and the menu
4. Community Out-Reach
Through this approach, we are hoping to spread the words and
subsequently obtain more participants to the event
Currently, the list is still as such

Justin and Bjorn - Singapore Entrepreneurs community
Siddiq - TPM College, APIIT/UCTI, MMU Cyberjaya
Cheryl - previous BarCamp Malaysia attendees (Cheryl updated us that
the respond will be favorable. We’ll definitely be expecting at least
50 participants from KL)
As the rest of the volunteers are not able to attend the 3rd meeting,
we would need to obtain updates from them via the g.group or the wiki.
5. Speakers
-Apart from professionals, volunteers are also encouraged to step
forward to share their work experience/ achievement/ anything that
people need to know
-As of date, please check out the confirmed sessions in the Sesssion section

7. MARKETING TOOLS
T-shirt printing tentatively will be at RM9/pc for 3c (front) x 2c
(back)
Pass holder + Lanyard will cost approximately RM 1/set excluding
printing of the pass
- Hwee Lo is out of town but will still be working on the design of the
Tee and the pass holder
7. OTHER OUTSTANDING ROLES
Volunteers are still encouraged to come forward to take on the
outstanding roles
As of date, we still need volunteers for:
Technical support
(We still need more helpers on this area as there’ll 3 tracks running
concurrently)
General coordination
(All volunteers are requested to be at the venue before the event day to
help with pack-ups. After the 2-days event, let’s bergotong-royong to
clean up before we return the venue to our sponsor)

Hi everyone,
Here’s a short summary of what happened at the first BarCampJB meeting. I also added some updates based on the emails that have been bouncing off over past few days.
• Brief introduction of potential volunteers on what BarCamp JB is and what to expect.
• Venue is confirmed at MSC Cyberport 29th floor and we will have 3 “rooms” to run concurrent sessions.
• The date we are aiming for is December 6th & 7th and MSC Cyberport is okay with this.
• Volunteers were asked to raise their hands for one of roles below and so far here’s what we got:

- Treasurer: Cheryl Goh
