General Agenda:

  • Friday 7pm – 10pm
    • Overview of BarCamp Concept (dynamic speaker)
    • Introductions
    • Agenda Setting
    • Networking / social activity during and after agenda setting
  • Saturday 9am – 8pm
    • Specific discussions TBD – agenda set on Friday
    • Any combination of open discussion, presentation, round tables, etc.
    • After party 8pm+? Werewolf?

Big, Huge must do nows

  • LOCATION, LOCATION, LOCATION
  • SPONSORSHIPS

Location Notes

Raven Zachary leading

Responsible for finding a location, driving all communications with facility, coordinating food / drinks.

Some concerns about using audio cinema. Looking at alternatives with PDC.

Agenda and Materials Management Notes

Carl Johnson / LaVonne Reimer leading

Responsible for organization for agendas, program and materials (projectors, flip charts, etc.) Note: BarCamp is self-organizing, but we need the framework, timing (breaks/lunch/start/end), person to facilitate on-site organization meeting (someone experienced with barcamp/foocamp/etc.)

  • Need a page to solicit topics for sessions on the wiki - need active marketing push to get people to add topics to the wiki. Encourage people to collaborate and combine similar topics prior to the agenda setting at the event.

Sponsorships and Marketing Promotions Notes

Sioux Fleming and Kelly Mackin leading

Responsible for finding sponsors, primary point of contact for sponsors, work with sponsors to pay bills.

Coordinate marketing and promotions for the event & marketing materials for sponsors.

Ideas:

  • Target different messages to different audiences.
  • How do we reach students?
  • Put some of the big names on the invite
  • Get on community calendars
  • Portland Art institute – might be interesting to bring in some tech design
  • Need flyer
  • Some theme around "Building a community of interesting technologists in the Northwest"
  • Begin marketing in early march after location.
  • Great video we can use to help explain it: http://www.archive.org/download/Ryanne-BarCampSF816/Ryanne-BarCampSF816.mov

Misc Notes

Use the Foo Camp wiki as an example: http://wiki.oreillynet.com/foocamp06/index.cgi

Should we charge a nominal fee to attend?

  • Pay in advance gets people to actually show up and have some stake in it.
  • Also could pay as you go.
  • Free geek donations?

Add people's pictures to sessions or picture list posted.

Use the BarCamp wiki to organize info (starting with this page)

Werewolf, board games, guided meditation,

BarMic / Open Mic music, local musicians to attract people, comedians. BarCamp choir/drumming circle/collaborative music.

Mid-point check about what works, what doesn't - debrief session on planning and holding the Portland BarCamp and other barcamps.

Networking

Tech groups around Portland that might have an interest. I may compile this in a better, non-barcamp specific format later on. (wow, there are so many more than I thought there would be... and this is only very quick googling)
