I've chosen this date to allow for time to gather sponsors and attendees.

来年一月末を選んだ理由はスポンサーと参加者を集めるための時間が必要だと思いました。

The location has yet to be chosen but I'm speaking with a large software company with appropriate space in Tokyo and would appreciate a contact before confirmation.

場所はまだ募集中ですが、今大手のソフト会社の場所を使わせてもらう話をしているので少しお待ちください。
