BarCampVancouver 2008 Planning

 

First Planning Session on Thursday, July 10

 

This page is intended for use by everyone involved in planning the upcoming BarCampVancouver2008. Make any appropriate changes. Happy editing!

 

 

Date: September 27th

This is now the Final date, After a vote via Doodle of the 27th versus the 13th, which saw no activity after July 20, the date of the 27th won by a vote if 26 to 25. Unfortunately, no matter which date is chosen, a large group of people will not be able to make it).

 

Number of projected attendees (based on last year + new) 200-225

This projection has been confirmed by a rapidly growing list of people signed up to attend.

 

Venues

Should have 5-6 rooms (for the camp itself) (Minimum of 4 rooms, with one large room for the assembly of all attendees/presenters and where the sign-up board will go, plus some hall / hang out space)

 

We have broken down the venues into one for the party, and one for the camp the next day. This means:

  • Potentially no overnight "camping" -- WorkSpace could be used *just* for camping space overnight. Need to ask.
  • Need someone to step up and take care of wifi (ask Joe Bowser et al?). This can be done with a Rogers wireless modem + a couple of access points. Estimated cost for a broadband hookup for the day: $300
  • Potentially multiple locations / spaces on Granville Island, with one central gathering area (e.g. Granville brew pub + outdoor shelter). If the weather is decent, this could work well. (There's a lot of enthusiasm in the group for a Granville Island BarCampVancover.)
  • Emily Carr + ?) - still need to find out if there are some viable rooms there.
  • Raul / Megan / Jordan have some party / main venue follow-ups to do toot sweet

 

 

Further Brainstorming on Venues:

Venues:

  • Has it overgrown Workspace? - It has (as of July 24th).
  • UBC Robson Square - will call. This is often expensive.
  • Business Objects - Andre is emailing CTO
  • Electronic Arts - will check with them
  • Wask Centre for Dialogue - will call
  • SFU Harbour Centre - will call
  • BCIT Downtown campus - will call
  • Centre for Digital Media - The Hangar - nope - they do not want out-of-house events booking in any more. Not well equipped for it (Can you say power cords, wi-fi challenge?) However, Raul is making call re. other buildings.
  • Emily Carr - being used for New Forms Festival, but would be great to be in a space of their properties as well.
  • Arts Club Theatre - love GI locale - Main Stage is not available, but Revue Theatre may be. Cost is about $1050 for 8 hours. It's probably a little negotiable.
  • Playwright Theatre Club - love GI locale - DB has a call into them, waiting for return It's an 85-person Theatre space, and would probably cost about $500 for the day. DB will have more solid details on pricing and availability later in the week
  • False Creek Community Centre - love GI locale
  • Granville Island Brew Pub - Meg has a connection there - maybe not for right for this/don't know space well, will discuss with JB
  • Vancouver Public Library - will call
  • Van City
  • Vancity Film Centre
  • Scotiabank Theatre
  • Mount Pleasant Community Centre (for party?) - Raul will call
  • Heritage Hall (for party) - Raul will call
  • UBC IRES (Institute for Resources, the Environment and Sustainability) - Raul will check with them
  • Canvas Art Gallery (located on Powell Street in Gastown, http://www.canvasartgallery.ca ) Andre says is really nice and has some decent division of space with the 2 levels, but it may be expensive to rent for a night.
  • Alibi Room (for party) - might be too small
  • Jericho Beach - Sailing Club, Community Centre

Budget:

DB Notes that from BarcampVancouver2007Planning, it looks like last year's expenses were

about $6000, and that was with no venue costs.

Boris will share a general public link to the budget after he's gotten some more feedback.

 

Food (don’t need to brainstorm on it now - we will soon. Talked about a Sponsor for food for 1 or more events)
