The Chaotic Scheduling Process

The Product Camp Boston Scheduling Czar is Karl Critz, a first time attendee and organizer.  All Scheduling Deputies are encouraged to contribute ideas and wisdom.

Framework:

On the day of we will have four rooms in which to hold sessions, and much more space for roundtables.
Each session will last no more that 50 min.

We will have 2 sessions in the morning and 4 in the afternoon for a maximum total of (2+4)*4=24 sessions.

The schedule on the wiki may need to be adjusted the day of.

The Open Grid Process:

  • Each participant will receive a large index card and four scheduling stickers when they sign in.
  • Those who are planning to present will be asked to write the title of their session and their name on the card.
  • These cards will then be posted and p-campers will be asked to vote on their four top choices (i.e. the sessions they are most likely to attend)
  • During part of the Morning JumpStart / Networking-Ice Breaker session our crew will tally up the votes and design a schedule the will minimize conflicts.

Notes and Suggestions:

Voting using stickers on the index card of the sessions they are most interested in works well.  Those that get the most votes are obvious, and get slotted in separate times.  Next most popular set of topics get spread out as 2nd sessions for each time slot, and then schedule the others in the same manner.
